When AI prepares an auction draft in a few steps, the process can look complete. But adding the correct items and making the correct commercial decision are different tasks. Keeping human control does not mean retyping every row. It means placing the necessary check where the consequences justify it.
Separate preparation from commitment
Extracting items, asking about a missing unit and drafting a description are relatively easy to reverse. Publishing an event to suppliers or proceeding to an order has different consequences. Define “prepares”, “recommends” and “executes” separately in the AI operating plan.
NIST's AI Risk Management Framework addresses risk in its context of use. NIST — AI Risk Management Framework A practical procurement approach is to consider the commercial effect of an error rather than applying one identical check to everything. Even a low-value record can matter if it sends information to the wrong company.
What should the reviewer see?
A reviewer needs more than “18 items ready”. Quantities, units, invited suppliers, closing time and auction format should be visible. Fields interpreted differently from the source file should also be identified. This makes review a meaningful comparison rather than a ceremonial approval.
A user's “OK” is insufficient if the operation being approved is unclear. Saving a draft and publishing it should not be combined under an ambiguous confirmation. Define these boundaries in the organisation's working procedure, including who may perform the final action.
Test plausible-looking errors too
Similar supplier names, different date formats and blank units make useful test cases. Also inspect examples that appear correct. A misinterpreted quantity can be perfectly formatted. Comparing the source and resulting record is therefore more reliable than checking only for obvious presentation problems.
During the pilot, record how many drafts needed correction and the type of correction involved. Recurring issues may originate in the instruction, source file or mapping to system records. Adding more automation before identifying the cause can increase the review workload rather than reduce it.
A workable boundary in Tenflex
An auction draft prepared through Tenflex AI Connect can be reviewed and published by the user. The connection cannot exceed the user's Tenflex permissions. Consider that boundary together with the organisation's own review responsibilities; permission to perform an action does not remove the need for an informed decision.
Do not define pilot success as the complete absence of human involvement. Shorter preparation, fewer corrections and an explainable final record are more useful measures. A well-designed review step preserves ownership of the commercial decision while allowing the team to benefit from faster preparation.
