Moving PDF quotations into a comparison table takes time. OCR and document-processing tools can help, but reading text is different from understanding its commercial meaning. If unit prices, subtotals and grand totals are confused, a tidy-looking table can still support the wrong decision.
Separate three different tasks
OCR converts visible text into machine-readable text. Document processing attempts to identify the fields to which that text belongs. Procurement evaluation interprets the scope of those fields, including whether freight is included or a price refers to an alternative product.

Amounts, quantities and currencies should be verified against the source document, particularly during the initial trial.
Select representative documents
Do not test only the cleanest PDFs. Include scans, multiple pages, pricing footnotes and different decimal conventions. Prepare test documents according to the organisation's data-sharing rules, excluding unnecessary personal or commercial information.
For example, 1.250,00 and 1,250.00 may represent the same amount in different formats. A quantity of ten boxes may depend on a separate note specifying the contents of each box. Extracting the number alone does not establish the quantity being offered. Preserve the surrounding context required to interpret it.
Design a useful review queue
Send missing items, inconsistent totals, uncertain currencies and unreadable units for review. Make the source page for each extracted row identifiable. If the user sees only the resulting table, they must search for the document again, losing part of the time saved.
Measure extraction time and correction time together. A file processed quickly may still require substantial work if every row needs correction. Based on the trial, limiting the supported document types can be a sensible decision. A narrower, dependable workflow may be more useful than broad support with unpredictable results.
Where structured quotation collection helps
OCR can be useful for documents received externally. For recurring purchases, asking for information in common fields from the beginning also matters.
